How to Sync Work & Personal Calendars

Why Sync Your Calendars?
Your coworkers can't see your personal calendar, which leads to scheduling conflicts. By syncing your work and personal calendars, everyone can see when you're actually busy without revealing private details.
Step 1: Connect Your Calendars
- Sign in to GCalSync with your Google account
- Click "Connect Calendar" in your dashboard
- Authorize access to your work calendar (if not already connected)
- Repeat the process to connect your personal calendar
💡 Tip: You'll need to authorize each Google account separately. GCalSync will guide you through the OAuth process for each calendar.
Step 2: Create a Sync Configuration
- Navigate to the "Syncs" section in your dashboard
- Click "Create Sync"
- Select your personal calendar as the source
- Select your work calendar as the target
- Choose "Bidirectional" sync direction
💡 Tip: Bidirectional sync means events created in either calendar will appear in both. Use one-way if you only want events to flow in one direction.
Step 3: Configure Privacy Settings (Optional)
If you want to hide personal event details on your work calendar:
- Edit your work calendar settings
- Enable "Privacy Mode"
- Set placeholder text to "Busy" or "Personal"
- Save your changes
💡 Tip: With privacy mode, your coworkers will see you're busy without knowing it's a doctor's appointment or date night.
Step 4: Test Your Sync
- Click "Sync Now" to run your first sync
- Check both calendars to verify events appear correctly
- Create a test event in one calendar and sync again
- Verify the event appears in the other calendar
Common Questions
How often should I sync?
Enable automatic syncing to run every 15-30 minutes, or sync manually whenever you add important events. Most users prefer automatic syncing for hands-off operation.
Will my coworkers see private event details?
Not if you enable privacy mode! Synced events will only show your placeholder text (e.g., "Busy") without titles, descriptions, or locations.
What happens if I delete a synced event?
Deleting from the target calendar will recreate the event on next sync. To permanently remove it, delete from the source calendar or pause the sync.
